I’ve made some interesting observations after over 30 years of maintaining accounts for small business owners.  Bookkeeping / accounting processes appear to be one of the last important pieces of business management to be put in place.  Usually after production and marketing have been in full swing for months, perhaps years.  Then some crisis comes along like poor cash flow or the need for financial data that must be supplied prior to requesting funding from either a lending institution or an investor.  

Many times a new business owner is convinced that they can maintain “the books” and also produce and market their product effectively.  I am always curious about the motivation to not only serve their customers but to be the business’s bookkeeper as well.  After successful marketing, that same business owner is now producing more products and providing it to more customers.  The time and energy to maintain the accounts of the business evaporate.  The business owner begins to manage the company’s finances through monitoring bank and credit card accounts.  Whether or not the business is profitable is hidden until someone asks for an updated financial report.

The business may or may not have a CPA that, at the end of the year, takes receipts and/or a cobbled together spreadsheet from which they are to prepare the yearly tax return.  Or, the CPA is given access to an online accounting software that has been intermittently maintained throughout the year that they must now suss out details for an accurate tax return.  This generally increases the overall cost of their work.

Now, added to the ups and downs of owning and operating a successful business, is the shame or guilt or frustration that lack of financial clarity may bring.
